Planning, Coordination & Vendor Requirements for Your Cloudveil Jackson Hole Wedding

(Who’s required, who’s allowed, and how the day is managed)

Is a professional wedding planner required for events at the Cloudveil, and if so, do you provide a preferred or approved planner list?

A wedding planner is not required at The Cloudveil, but we strongly recommend at least a day-of (or month-of) planner to help manage timelines, vendors, and logistics. We do have a preferred vendor list we’re happy to share as a resource, though clients are not required to use only those vendors — they’re simply recommendations.

Are outside vendors permitted (photography, florals, entertainment, rentals), and are there any vendor restrictions or approval processes couples should be aware of?

Yes — almost all outside vendors are permitted, including photography, florals, entertainment, and rentals. The only exception is food and beverage, which must be provided by us, with the exception of a wedding cake, which you’re welcome to bring in. There are no vendor restrictions or approval processes required.

Does the Cloudveil provide an on-site event or banquet manager for the wedding day, and how does that role differ from an independent planner?

Yes — The Cloudveil provides an on-site banquet/event manager who oversees all venue operations, including food and beverage service, servers and bartenders, and internal timing. This role is different from an independent wedding planner, who typically manages the overall wedding-day timeline, coordinates outside vendors, handles ceremony logistics, sets up and breaks down personal décor, manages event flow, and packs up items at the end of the night. The two work closely together, but serve distinct roles.

Are there noise ordinances, music cut-off times, or volume restrictions for outdoor or evening receptions?

All events must conclude by 10:00pm due to the proximity of hotel guest rooms. While there are no specific volume restrictions, we do ask that sound levels remain appropriate for a hotel environment. We’ve successfully hosted both full bands and DJs on the Rooftop, and although it can’t be concert-level loud, we’ve never had any issues with entertainment at past events.

Are there any design or décor guidelines couples should plan around (install timelines, candle usage, hanging installations, floor protection, etc.)?

We guarantee two hours of access prior to the event for setup, though additional time can certainly be arranged if needed. We allow most décor elements, with the exception that any candles with an open flame must be in fully enclosed containers; battery-operated candles are also a great option in the space. There are a few structural limitations — for example, we’re unable to wrap the overhead Rooftop posts, as the awning needs to fully extend — but we review each setup and design on a case-by-case basis, and there is almost always a creative workaround.

Logistics, Timing & Guest Experience

What does a typical Cloudveil Jackson Hole wedding day timeline look like, from vendor load-in to event breakdown?

A typical wedding day at The Cloudveil flows seamlessly between our event spaces. Vendor load-in usually begins around 2:00pm, allowing ample time for setup and design. Guests arrive around 4:00pm, followed by a 4:30pm ceremony. After the ceremony, guests head up to the Rooftop for cocktail hour beginning around 5:00pm, enjoying views of Town Square and the surrounding mountains. From there, guests transition downstairs to the Lupine Room for dinner, and once dinner concludes, the celebration often moves back up to the Rooftop for dancing and late-night socializing, creating a dynamic and memorable flow throughout the evening until 10pm.

Are there designated getting-ready spaces for the couple and wedding party, or do most couples use guest suites?

We don’t have a designated getting-ready area on-site, but many couples choose to book a hotel room and use that space for getting ready.

How is guest arrival handled—parking, valet service, or shuttles—and are there recommendations for transportation during peak seasons?

Guest arrival is fairly flexible. For guests staying at The Cloudveil, the hotel offers valet parking. Many couples also arrange shuttle transportation for guests staying at other hotels around Jackson Hole, which works especially well during peak season and for post-event transportation. Since we’re centrally located near Town Square, there is also on-street parking and several public parking options, including a nearby parking garage within walking distance.

Are there specific photo locations on property that couples are encouraged to use, and are there any restrictions or permits required?

Given our central location near downtown Jackson and the iconic elk antler arches, many couples choose to take photos at those landmarks, as well as in front of the Million Dollar Cowboy Bar. The Rooftop also offers great photo opportunities. To my knowledge, permits are not required for these locations.

How does the hotel handle weather contingencies for outdoor ceremonies or receptions, especially given Jackson Hole’s alpine climate?

The Rooftop is a great space in summer months because we can fully enclose half of the Rooftop with a retractable awning and drop-down sides, which provides excellent protection from wind, light rain, or cooler temperatures. We also have massive heaters that run the length of the Rooftop. If we encounter extreme or uncooperative weather, the Lupine Room serves as a seamless and elegant indoor backup, allowing us to move ceremonies, cocktail hours, or receptions inside without sacrificing flow or guest comfort.

Food, Beverage & What’s Included in Your Cloudveil Jackson Hole Wedding

What food and beverage options are available for weddings? Are all events required to use in-house catering and bar services?

We offer a wide range of customizable menus and bar packages and work closely with couples to tailor food and beverage to their style and vision. All events are required to use our in-house catering and bar services, though we do allow outside wedding cake and select specialty items that we’re unable to provide.

What alcohol packages are offered, and are specialty cocktails, rare spirits, or curated wine pairings available?

We offer full bar packages and can customize as much as needed, including specialty cocktails, curated wine selections, and rare or specialty spirits. Through our affiliation with local spots like Bin22, we also have access to an extensive and thoughtfully curated wine program to tailor the bar experience to your event.

What is included in the site fee (tables, chairs, linens, service staff, lighting, place settings, etc.)?

The site fee for your Cloudveil Jackson Hole wedding includes exclusive use of the event spaces, along with tables, chairs, basic linens (white, ivory, or black), plates, silverware, glassware, bar items, and cutlery, as well as all service staff, bartenders, and an on-site event manager. Couples are welcome to bring in additional décor or specialty items to personalize the space, and we’re always happy to supplement those with what we have in-house.

Are there minimum spend requirements tied to the season or day of the week?

Yes — we do have food & beverage minimum spend requirements, as well as site fees. They vary based on both seasonality and day of the week. Minimums are highest during peak season months (June–September) and on peak days (Fridays and Saturdays). They are lower during non-peak months or on non-peak days of the week.
